How to brief a commercial tree contractor
A useful commercial tree-work brief explains where the work is needed, what you want to achieve and how the site operates.
For property managers, facilities teams and business owners, those details help contractors understand the job and prepare quotations you can compare.
You do not need to prescribe the pruning method yourself. Start with the problem and provide any existing professional recommendations.
Explain what needs to change
“Cut back the trees” leaves plenty open to interpretation.
A more useful brief might explain that branches are obstructing a delivery route, vegetation is covering signage, or you need specified work completed following an existing tree report.
Include photographs and a marked plan where possible. If you already have a schedule of works, share the full document so contractors can quote against the same requirements.
Describe how the site operates
Tree work needs to be planned around the people and activities nearby.
Explain:
- Opening hours and busy periods.
- Vehicle, pedestrian and delivery routes.
- Areas that must remain accessible.
- Any restrictions on parking or machinery access.
- Nearby buildings, fences and other features.
- Your preferred working dates and completion deadline.
For a site that must stay operational, identify who can agree temporary access changes and how staff or occupiers will receive updates.
Share the information you already hold
Provide relevant tree reports, previous work specifications, known restrictions and information about underground or overhead services.
Make clear who is responsible for checking and obtaining any necessary permissions before work starts. If a requirement is unresolved, flag it early so it can be addressed during planning.
Ask for a clearly defined quotation
A useful quotation should identify the trees or areas included, describe the proposed work and explain how the site will be left.
Clarify whether the price includes waste removal, stump treatment or grinding, and any agreed reinstatement. Ask for exclusions to be stated clearly.
This makes it easier to compare the scope of different quotations, as well as their prices.
Agree communication and completion arrangements
Nominate a site contact and agree how changes will be authorised.
Before work begins, establish what completion information you need. That might include photographs, confirmation of completed items or a list of work that could not proceed and why.
